The whole flow lives on a single dashboard: the attendant selects a Customer (or creates a new one on the spot), adds items from the inventory list, and clicks New Sale. Fergna’s billing engine automatically pulls the correct GST rate for each line‑item – 0 % for unbranded loose staples, 5 % for branded packaged foods, 12 %/18 %/28 % for other categories – and calculates the tax amount in real time. 1. Prepare the inventory list (once)

  1. From the left‑hand menu click Customers → Inventory.

  2. Press Add Item and fill in:

  1. From the main dashboard click Billing → New Sale.

  3. Click Add Items. A modal opens with the inventory list.

    Select “Basmati Rice 5 kg” – quantity 1 → line shows ₹1,200, GST 0 % → tax ₹0.
    Select “Detergent Powder 1 kg” – quantity 2 → line shows ₹150 each, GST 5 % → tax ₹7.50 per unit, total tax ₹15.

  4. The Subtotal shows ₹1,500, GST Total ₹15, Grand Total ₹1,515. All numbers are displayed in Indian Rupees with two decimals, matching the GST invoice format.

  5. Click Checkout.

3. PDF receipt generation and sharing

  1. Ferbz instantly creates a PDF titled “Invoice‑#20230905‑001”. The header includes the store name, GSTIN (if applicable), and the GST breakdown per line item.

4. Automatic enrollment in a reminder journey

  1. After checkout, Ferbz checks the Automation tab for any journeys triggered by “order completes”.

  2. In this store, the owner has set up a journey called “Reorder Reminder – Staples” with the plain‑English goal: “Remind customers to reorder staples after 20 days.”

  3. Ferbz’s AI has already built the flow:

    Wait 20 days → WhatsApp message “Hi Ramesh, it’s been 20 days since your last purchase of Basmati Rice. Need a refill? Reply ‘YES’ to place an order.”

5. Monitoring reminders and reports

  1. At any time, open Reminders → Board. The list can be filtered by “Scheduled”, “Sent”, “Delivered”, “Read”, or “Failed”.
  2. After 20 days, the message is automatically dispatched. The status changes to Sent → Delivered → Read as the WhatsApp API reports back.
  3. If the customer replies “YES”, the store can open the Automation canvas, see the branch that captures the reply, and automatically create a new Order draft with the previously ordered items pre‑filled. The attendant only needs to confirm quantity and hit Checkout.

6. End‑of‑day reporting

  1. Click Reports → Billing. Choose the date range “09‑04‑2023 to 09‑05‑2023”.

  2. The report shows:

Do I need to enter GST rates for every product manually?

A: No. When you add an item to the inventory, you select its category (e.g., “Food – Grains”, “Household – Cleaning”).
