What This Is

Ferbz’s Automation module lets a general‑retail shop set up an “order‑completion → reminder” flow that runs automatically on the official WhatsApp Business API. When a customer finishes a purchase (a New Sale in the Billing module), Ferbz instantly creates a PDF receipt, shares a link, and—without any extra clicks—enrolls that customer into a pre‑defined WhatsApp journey.

For the pre‑Navratri season, the journey is a Follow‑up reminder that nudges customers to restock the staples they usually buy for the nine‑day festival. The reminder is triggered by a “days‑since‑last‑order” rule (e.g., 12 days after the last purchase) and uses the shop’s own message template. Ferbz then sends the WhatsApp message, records the sent/delivered/read status on the Reminders board, and deducts a single credit from the prepaid wallet.

All the data—customer name, phone, order history, and reminder history—live on the Customers screen, so the shop owner can see at a glance who has been reminded, who has opened the message, and who needs a follow‑up call. The Reports module later aggregates how many reminders turned into repeat orders, giving a clear picture of the ROI of the Navratri reorder campaign.

In short, the capability is a single, end‑to‑end workflow:

  1. Billing creates an order and a receipt.
  2. Automation enrolls the customer in a “Navratri reorder reminder” journey.
  3. The Reminder clock starts based on the chosen trigger (days since last order).
  4. Ferbz sends a WhatsApp message via the official WhatsApp Business API (through Gupshup).
  5. The Reminders board shows live status, and Reports measure impact.

All of this runs on a prepaid credit system (₹99 = 100 credits, etc.), so there is no monthly subscription to manage—just top‑up as needed for the volume of reminders you plan to send.

How General retail stores Owners Use It

Below is a step‑by‑step walkthrough that a shop owner in, say, Bhopal or Coimbatore would see on their screen. The example uses a fictitious store called Shyam’s Grocery that sells loose wheat flour, packaged jaggery, and cleaning supplies—items that families buy again before Navratri.

1. Set up the WhatsApp template (once)

  1. From the left navigation, click AutomationTemplates.

  2. Press New Template, give it a name “Navratri Reorder”, and paste the text:

    Namaste {{customer_name}},
Navratri is just around the corner! Your last purchase of {{last_item}} was on {{last_order_date}}. Stock up now and get 5 % off on any staple (GST 0 %). Reply “YES” to place the order or call us at {{shop_phone}}.

  3. Use the Variables button to insert the placeholders ({{customer_name}}, {{last_item}}, {{last_order_date}}, {{shop_phone}}).

  4. Click Save. The template is now reusable in any automation flow.

2. Create the “Pre‑Navratri Reorder” automation

  1. Navigate to AutomationJourneys.

  2. Click Create Journey and name it “Pre‑Navratri Reorder Reminder”.

  3. In the Trigger section, choose “Days since last order” and set the value to 12. This means the reminder will fire 12 days after a customer’s most recent order—just before the typical 9‑day Navratri shopping window.

  4. Add a Wait block of 0 days (the reminder should go out as soon as the trigger fires).

  5. Drag a Message block onto the canvas, select the “Navratri Reorder” template you saved, and map the variables:

    • {{customer_name}} → Customer → Name
    • {{last_item}} → Order → Last line‑item name
    • {{last_order_date}} → Order → Date
    • {{shop_phone}} → Store profile → Phone number
  6. Optionally add a Branch block: if the customer replies “YES”, move them to a “Confirmed” path that sends a second message with a short order link; if they reply “NO”, move them to a “No‑interest” path that sends a polite thank‑you. For this basic reminder, you can skip the branch and keep a single message.

  7. Click Publish. The journey is now live and will automatically enroll any customer whose order meets the trigger condition.

3. Process a sale and let Ferbz enroll the customer

  1. At the counter, the cashier opens BillingNew Sale.
  2. They select an existing Customer (or create a new one by typing the phone number; the system pulls any prior history).
  3. Add items: 5 kg wheat flour (unbranded, GST 0 %), 1 kg packaged jaggery (GST 5 %).
  4. Click Checkout. Ferbz instantly generates a PDF receipt, stores it, and shows a Shareable link. The link appears on the Reminders board with status “Enrolled” because the automation trigger is attached to the order completion event.
  5. The cashier hands the receipt to the customer; the system automatically deducts 1 credit for the upcoming reminder (the actual send will happen later).

4. Watch the reminder fire

  1. Twelve days later, the Reminders board updates: the entry for that customer changes from “Scheduled” to “Sent”.
  2. The Status column shows Sent → Delivered → Read as the WhatsApp API reports each stage.
  3. If the customer replies “YES”, the conversation appears in the Automation view under the “Confirmed” branch, and the store can manually create the order or use a separate Broadcast to send a payment link.

5. Review performance

  1. After Navratri, go to ReportsMessaging.

  2. Filter by date range 01‑Oct‑2024 to 15‑Oct‑2024 and by journey “Pre‑Navratri Reorder Reminder”.

  3. The report shows:

    • Reminders sent: 312
    • Delivered: 298 (95.5 %)
    • Read: 274 (87.2 %)
    • Orders placed after reminder: 58 (18.6 % conversion)
  4. Export the CSV if you need to reconcile with your accounting software (GST‑aware invoices are already in Billing).

Worked Example – Shyam’s Grocery

  • Shop details: Bhopal, GSTIN 07ABCDE1234F1Z5, turnover ₹45 lakh (so GSTIN mandatory).
  • Credit balance before campaign: 1,000 credits (₹799).
  • Number of customers enrolled: 350 (all who bought staples in the last 30 days).

Day 0 (Sale):

  • Customer Ramesh Kumar buys 2 kg wheat flour and 500 g jaggery.
  • Order total ₹380 (GST 0 % on flour, 5 % on jaggery).
  • Ferbz creates receipt, enrolls Ramesh in the Navratri journey, deducts 1 credit.

Day 12 (Reminder):

  • WhatsApp message sent to Ramesh: “Namaste Ramesh, Navratri is just around the corner! Your last purchase of wheat flour was on 02‑Oct‑2024. Stock up now…”
  • Status shows Sent → Delivered → Read.

Day 13 (Reply):

  • Ramesh replies “YES”. The automation moves him to the “Confirmed” branch, and a second message with a short order link is sent automatically (costs another credit).

Day 14 (Order):

  • Ramesh clicks the link, places a new order for 5 kg wheat flour.

Result after Navratri:

  • Out of 350 reminders, 58 turned into repeat orders, recovering roughly ₹22,000 in revenue that would otherwise have gone to a quick‑commerce competitor.
  • Credit usage: 350 (first reminder) + 58 (confirmation messages) = 408 credits, leaving 592 credits for future campaigns.

All steps were performed inside Ferbz’s dashboard; no separate spreadsheet, no manual WhatsApp copy‑pasting, and no need to track “who to call” on paper.

Why It Helps

Time saved – Before Ferbz, Shyam’s staff spent an average of 4 minutes per customer manually noting the last purchase date, drafting a WhatsApp text, and sending it from a personal phone. For 350 customers, that is ≈ 23 hours of repetitive work each Navratri season. With Automation, the entire flow runs without any manual intervention, freeing staff to focus on in‑store service.

Revenue recovered – In the example, 58 customers placed a repeat order worth an average of ₹380, adding ₹22,040 to the month’s turnover. Without the reminder, historical data shows only 12 % of those customers would have returned before Navratri, meaning Ferbz helped recover roughly ₹16,800 that would have been lost to competitors.

Credit‑controlled cost – The campaign used 408 credits, costing ₹323 (₹99 = 100 credits). That is a ₹22,040 / ₹323 ≈ 68 × return on credit spend, a concrete metric the owner can see in Reports.

Reduced manual errors – Because the reminder trigger is “days since last order”, there is no risk of forgetting a customer or sending a reminder too early (which could annoy shoppers). The Reminders board flags any failed sends instantly, allowing the owner to re‑try with a single click.

Compliance and GST handling – All orders continue to be recorded in Billing, so GST (0 % on flour, 5 % on jaggery) is automatically calculated and reflected in the PDF receipt. The reminder itself does not affect tax; it simply drives a repeat purchase that is fully compliant with the shop’s GSTIN obligations.

Overall, the automation directly tackles the two biggest pain points for Indian general‑retail owners: customers drifting to quick‑commerce platforms and lack of a systematic way to tell them when to reorder. By turning a manual WhatsApp nudge into a credit‑based, API‑driven workflow, Ferbz turns a seasonal sales dip into a measurable, repeatable revenue stream.

Questions you may have
01

Do I need a separate phone or QR code to send the WhatsApp messages?

A: No. All messages are sent through Ferbz’s integration with the official WhatsApp Business API (via Gupshup). The shop only needs an active WhatsApp Business account linked to Ferbz; there is no personal‑phone workaround.

02

How much does a single reminder cost?

A: Each automated reminder consumes one credit from your prepaid wallet. Credits are purchased in bundles (₹99 = 100 credits, ₹299 = 350 credits, ₹799 = 1,000 credits). You can top up at any time via Razorpay.

03

What if a reminder fails to deliver?

A: Failed sends appear on the **Reminders board** with a red status. You can click the entry to retry, or edit the customer’s phone number if it was entered incorrectly. The credit is only deducted when the message is successfully queued.

04

Can I change the trigger after the journey is published?

A: Yes. From **Automation** → **Journeys**, open the “Pre‑Navratri Reorder Reminder” journey, edit the **Trigger** (e.g., change from 12 days to 10 days), and republish. New orders will follow the updated rule; existing scheduled reminders keep the original timing.

05

Is the WhatsApp content taxed?

A: The reminder itself is a service message and does not attract GST. However, any subsequent order placed through the reminder will be invoiced in **Billing**, where GST is applied according to the product category (0 % for unbranded staples, 5 % for branded packaged items, etc.). ---
